Rent a Meeting Room

Meeting space is available at the Santa Clara Depot for individuals, organizations, and companies interested in meeting in a unique and memorable atmosphere. We have primarily two rooms available for single or multiple day events, the Freight House Meeting Room and the Boardroom.

The Freight House Meeting Room

The Freight House Meeting Room is a medium sized room decorated with various railroad artifacts including hand lanterns and signal lights, historic pictures, and displays of memorabilia from former railroad employees. The room has the following amenities:

  • A kitchenette that includes a microwave oven, 2 sinks with hot water, an industrial grade drip coffee maker with multiple pot warming plates, a refrigerator, a telephone, and 10'+ of counter space
  • The usable floor space is approximately 30'x40' (not including the kitchen) with a capacity of 100 standing, 83 seated in chairs, and 45 seated at tables
  • There are approximately 75 cushioned folding chairs and 6  2-1/2'x6' folding tables available
  • A large 5'x9' projection screen
  • CD Music and public address system with wireless microphones.
  • 64" color TV with a DVD/VCR
  • Overhead projector
  • Access to two modern unisex restrooms
  • Infrared gas heaters
  • Some of the the artifact displays can be moved or removed by the SBHRS if needed to accommodate your needs

The Boardroom is a unique facility that is decorated in an 1899 motif. It has the following amenities: (More pictures)

  • The room is 21'x23' with a capacity of 30 people
  • A large table (3'x12') suitable for seating up to 12 people
  • 8 padded office type chairs. (Additional padded folding chairs can be furnished.)
  • 4'x5' projection screen
  • Closable Whiteboard (4'x4') with cork board on the inside of doors for hanging flip charts when doors are open
  • Overhead projector
  • Unisex restroom
  • A telephone can be supplied

Scale Model Railroad Displays Room   Overhead view of the Scale Model Railroad displays room.

The scale model railroad display room, between the two rental rooms, is ONLY available if the entire building is rented and requires a docent to be present to oversee the model railroad displays and possibly run trains. The room is 29'x86' and contains a large N-scale (11'x52') and an HO-scale (19'x80') model railroad display along with railroad artifacts.

General Rental Agreement Guidelines:

  • There is NO SMOKING inside the building.
  • A 20% non-refundable deposit is required in advance to reserve any of the rooms at the depot. The balance is due two weeks prior to the event.
  • The rooms are expected to be left clean and in the same condition as provided. A cleaning deposit is required.
  • A certificate of liability insurance is required with the reservation deposit.
  • The renter is responsible for any injuries, property damages, or theft of property which may occur during the event.
  • Parking fees (currently $1.50 per day) in the Caltrain and Santa Clara commuter lots at the depot are enforced daily and are not included in any rental agreement.
  • The SBHRS library (former baggage room) is not available for inclusion in any rental agreement.
  • Other rental requests or changes to the above guidelines may be considered by the SBHRS Board of Directors upon written request.

The rental fees received, in addition to public donations, member donations, and fund raising events, make it possible for the SBHRS to maintain the facility, provide displays for the museum, and purchase books for the library. Rental fees are based upon which rooms are used and the renter's non-profit status.
